Privacy Policy

This Privacy Policy explains how Stock-Vitals collects, uses, and protects information when you visit our website or use our inventory-management service (the "Service"). Stock-Vitals is operated by Natan Corbin, a sole proprietor based in Wisconsin, USA ("we", "us", or "Stock-Vitals"). By using the Service, you agree to this Policy.
1. Information we collect
- Account information. Your name and email, and — if you sign in with a password — a securely hashed password. If you sign in with Google or Microsoft, we receive your name and email from that provider.
- Practice information. Your practice or clinic name and optional details such as address and phone, plus the staff names you add for usage tracking.
- Inventory and usage data. The supplies, suppliers, reorder thresholds, orders, and usage logs you create in the Service.
- Contact submissions. When you use our contact form or "Need help?" widget, we collect your name, email, practice name, and message.
- Voice and import inputs. When you use the voice/text check-in or spreadsheet-import features, the text you provide is processed by our AI provider (see "AI processing" below).
- Limited technical data. To protect the Service from abuse, we briefly hold your IP address in memory for rate-limiting. We do not use third-party analytics or advertising trackers.
2. How we use your information
- To provide, operate, and secure the Service.
- To maintain your account and keep each practice's data separate.
- To power features such as AI check-ins and spreadsheet import.
- To respond to your inquiries and provide support.
- To prevent fraud and abuse and to protect the Service and its users.
3. AI processing
Stock-Vitals uses Anthropic's Claude API to interpret voice/text check-ins and spreadsheet imports. When you use these features, the text you submit — along with the relevant inventory list for context — is sent to Anthropic for processing. Anthropic retains API inputs and outputs only for a limited period for safety and operational purposes and does not use them to train its models. Please do not submit patient information or other sensitive personal data through these features. You can review Anthropic's privacy policy for more detail.
4. Service providers we share data with
We rely on a small number of trusted providers to run the Service, and we share only the data each one needs to do its job. We do not sell your personal information.
- Vercel — website and application hosting.
- Turso — database hosting, which stores your account, practice, and inventory data.
- Resend — delivery of contact-form messages to us by email.
- Anthropic — AI processing of voice/import text (see above).
- Google and Microsoft — sign-in, only if you choose those options.
- Cal.com — demo scheduling, only if you book a demo with us.
5. Cookies
We use a single essential cookie to keep you signed in. We do not use advertising or analytics cookies.
6. Data retention
We keep your account and inventory data for as long as your account is active. If you close your account, we delete or anonymize your data within a reasonable period (generally within 90 days), except where we must keep it to meet a legal obligation. Contact-form messages are kept only as long as needed to respond to you.
7. Security
We protect your information with encryption in transit (HTTPS/TLS), hashed passwords, and access controls that limit data to your own practice. No method of transmission or storage is perfectly secure, but we work to keep your information safe.
8. Your choices and rights
You may access, correct, or delete your information, or ask how we handle it, by emailing us at natan@dentatrack.ai. Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act (CCPA); we honor these requests regardless of your location. You can opt out of any marketing emails at any time.
9. HIPAA
Stock-Vitals is not a HIPAA-covered service and is not designed to store, process, or transmit Protected Health Information (PHI). The Service tracks dental supplies, reorder levels, and supplier information — not patient records. Please do not enter patient names, identifiers, clinical notes, or any individually identifiable health information into Stock-Vitals. If your practice requires a Business Associate Agreement (BAA), contact us before using the Service.
10. Children's privacy
The Service is intended for dental professionals and is not directed to children. We do not knowingly collect personal information from anyone under 18.
11. Changes to this Policy
We may update this Policy from time to time. We will post the updated version here and revise the "Last updated" date above. We will communicate significant changes where appropriate.
